The Executive Assistant will be responsible for providing administrative support to the General Counsel, North America and Chief Financial Officer North America to assure efficient workflow and effective communications, including GC and CFO directed support of North America Legal & Compliance Department and North America Finance Department.  Acts as a point of contact between internal /external contacts as needed.

Duties:

  • Provides administrative assistant support to CFO and GC for North America Region, including clerical, administrative, and organizational activities, which include e.g., (i) generating, composing and editing,  correspondence such as memorandums, letters, emails, invoices, reports, instructional documentation, and other correspondence,(ii) preparing and submitting expense reports, and (iii)  arranges complex detailed travel plans and itineraries for CFO and GC and, at direction of CFO or GC, compiles documents for travel-related meetings and processes travel expenses in accordance with Draeger’s Travel & Expense Policy; (iv) general typing and editing of various legal and finance related documents such as policies, reports, minutes, and resolutions; and (v) manage purchase orders, invoices, and engagement letters of Legal & Compliance and Finance Department spending.
  • Maintains electronic and paper departmental files, confidential documents, and functional related libraries for Legal & Compliance Department and Finance Department, including updating Region’s Contract Database for legal, compliance, or finance executed contracts.
  • Manages daily schedules and meeting calendars for  CFO and GC and, at direction of CFO or GC, coordinate Legal & Compliance Department and Finance Department, schedules, meeting arrangements, etc.
  • Support Legal & Compliance Department Project & Process Coordinator in management of Legal Request Portal, including serving as back up for assignment and tracking of legal and compliance requests and generating metric reports.
  • At direction of CFO or GC, provides administrative support as needed to Company’s Facilities Team, and Deputy or Associate General Counsel, including imputing and organizing materials in Legal Portal (including model language library and updates of company governance information on electronic portals and formatting and revising policies and processes),  Provides support for specific projects or processes identified by CFO or GC.
  • Provides clerical and administrative support to Tax team for business license application, administrative activities, and other tax related requirements and forms, as needed.
  • Pursuant to direction of Compliance Officer, (i) manages educational and research grants and charitable donations requests by responding to grant and donation related inquiries and logging information on Company required forms, (ii) assists in input of data for Physician Sunshine Act reporting and internal reports, e.g., sales channel partner and sponsorship reports, (iii) inputs data into and organizes North America Compliance SharePoint sites.
  • Pursuant to direction of Data Protection Official inputs and organizes data into regional and global reports and SharePoint sites regarding departmental data security measures and incidents. 
  • Performs other duties as needed and assigned. 

Your Qualifications

Education:

High School or the equivalent in education, training and experience required. College degree preferred.

Related Experience:

  • At least two years of administrative/office experience supporting executives required.
  • Strong customer service experience required.
  • Must be proficient in Microsoft Suite of products including Excel, Outlook, Word, and PowerPoint.
  • Ability to build strong internal and external relationships using effective verbal and written communication.

Draeger has several sites located across North America as well as field-based sales and service positions. Our North America headquarters is located in Telford, PA just north of Philadelphia. We also have US sites in Andover, MA, and Houston, TX. Our Canada site is located in Mississauga, Ontario.

Our US headquarters located north of Philadelphia in Telford, Pennsylvania is our US manufacturing site for our Neonatal product line supplying many global customers as well as production support for Draeger’s Safety products. This location also serves as the key site for essential US functions which includes Medical Sales and Service Management, Medical Marketing, Legal, Compliance, Regulatory, Quality and Finance.
